From enrolment to fees
Bulk-enrol students
Save your existing spreadsheet as CSV and upload it — every student and caregiver is enrolled. Siblings with the same caregiver in that file are grouped into one household automatically.
Timetable and class setup
Open classes under each subject and build the timetable by day, time and room. Terms 1–4 are set by date. You can limit each tutor to the students in their own classes, keeping class management secure and efficient.
Smart attendance
Take attendance easily in the app. The moment a tutor taps the button beside a name on their phone, it’s recorded. If the connection drops, nothing is lost — marks are kept safe on the phone.
Record and publish results
Enter NCEA and Cambridge standards, credits awarded and resits in full. Results only reach parents after the academy clicks Publish, so you can write and review them ahead of time with confidence.
Fee invoicing and tracking
Each household’s invoice fills itself with the fees for the classes their children take. Bank deposits are paired to invoices automatically by their reference (the invoice number), and anything unpaid is tallied as you go — collecting and reconciling fees takes just a few clicks.

Everything about a student on one screen
Tap a name to open their classes, caregiver, emergency contact, photo consent and health notes.
- Four statuses — trial, enrolled, paused, withdrawn. Search by name or phone, filter by class, status and site
- Save your spreadsheet as CSV and upload it — header names (name, date of birth, parent phone …) are recognised in English or Korean

Classes under subjects, each with its own fee and timetable
Use a subject (say, Maths) as the container and open classes under it. Assign a tutor to the subject and every class under it follows.

- Timetable by day, start and end time, and room. The By day view shows what’s on today
- One-day holiday programmes carry a date and drop off the request screens once it passes
- Age range, capacity, intro text and a photo per class — the server holds age and capacity on parent requests

Pick a class and date and the roll opens. You can take a roll on days outside the timetable (make-up lessons) too.

- If the connection drops, marks wait on the phone and upload in order — even after closing the tab or a login timing out
- Contact numbers and site sit beside each name, so you can call about an absence straight away

Day-by-day care bookings, priced as they change
Academies running after-school or holiday programmes take children by the day in bookable classes, priced from each week’s bookings.
- Three daily rates — full-time or part-time by how many regular days are booked that week, casual counted separately
- Rate tiers per child (e.g. OSCAR subsidy, partner discount). Change a tier and that child’s bookings re-price; invoices already issued stay as they are
- Parents book on the parent-page calendar and it’s confirmed at once — capacity is checked per day, per class
- Pull in bookings on an invoice — pick a period and get one line per rate, skipping days already invoiced
- Turn on care mode to stamp sign-in and sign-out, recording who collected the child and a caregiver signature. Print the sign-in/out sheet for your files
From NCEA to Cambridge, IB and internal assessment
Enter each standard’s code, title and credits once, and you never retype credits on a result.
- NCEA with E · M · A · N buttons, Cambridge grades (A* …), IB 1–7, internal scores
- Re-sit adds a new attempt and keeps the earlier ones
- Publish per assessment — until then parents see nothing

One invoice per household, one file to check payments
Pick a household and this month’s fees for every class their children take fill in line by line. However many siblings, it’s one invoice.
- The invoice number (INV-2026-0001) is the payment reference. A wrong invoice is voided with a reason, never deleted
- GST-registered academies issue tax invoice PDFs with their GST number, in English or Korean
- Part payments carry a running balance; record bank transfer, cash, card or other
- Upload a bank statement CSV and deposits are paired by the invoice number in the reference; confirm each with Record payment. The bank file is never stored on our servers
- Send overdue households a reminder email with the balance, bank details and their parent-page link
- Xero import CSV, an accounting summary (invoiced, GST, payments by method, owing) and invoice and payment ledgers as CSV
One address that takes trial and enrolment requests
youracademy.tenvio.net — your logo, colour and background photo, with subjects and classes, notices, and each site’s address and map. Student numbers and timetables are never shown.
- A trial-lesson request, and a four-step enrolment form (student → health & safety → caregiver & consent → preferred classes). Enter a date of birth and the year level is suggested
- Allergies, EpiPen and inhaler questions through to privacy consent (Privacy Act 2020) — all on the form. Add another child keeps the caregiver details
- Requests gather under Requests on the Students screen; one tap on Enrol as student puts them on the roll, with health answers copied into notes
- Download the share QR as a PNG for flyers or an SVG for print shops
- Spam bots and repeat requests within 7 days are filtered out, and request forms are deleted automatically after 6 months
Write once — the parent page, your academy page and phone alerts
Keep a notice as a draft, then Publish and it appears on the parent page and your academy page together.
- It pops up on the phones of parents who turned notifications on (on iPhone, after adding to the home screen)
- Email it too — choose the caregivers, and any that fail are listed by name
- Tapping Publish twice won’t send the phone alert twice
Each role sees what it needs; tutors see their own students
Four roles: principal, manager, admin & finance, and teacher. It isn’t hidden on screen — the database refuses.

How we look after your records
Where data lives
On servers in Sydney, Australia.
Support only with your permission
Tenvio support can look in for 24 or 72 hours, only when your academy allows it (view-only by default). You’re told by email and an on-screen banner, and every visit is logged.
Tutors see their own classes
A tutor account sees only students in their classes and sites. It isn’t hidden on screen — the database refuses.
Bank statements aren’t stored
The bank CSV you upload for matching never goes to our servers; it stays on the computer you used.
Request forms are deleted after 6 months
Trial and enrolment requests from your academy page are deleted automatically after 6 months (Privacy Act 2020).
Records are kept, not erased
Invoices are voided with a reason rather than deleted, and removed students keep their attendance and billing history.

Outside Auckland, travel is added at cost. The setup fee is one-off and all amounts exclude GST.
All prices in NZD, excluding GST. GST at 15% is added on invoice, and we issue a tax invoice showing our GST number.
Questions
Do parents need an app?
No. They open the personal link you send in their phone browser — no login, no password. They can add it to the home screen if they want.
Do you import our roll during the trial?
No. The trial is for looking around yourself, so we just open the account. Onboarding — the spreadsheet import, classes and so on — happens once you choose a plan.
Can you import our spreadsheet?
Yes. Send it over and we map the header row (name, date of birth, caregiver, contact …) and load it. It is part of onboarding, and you can also save it as CSV and upload it yourself.
Can a tutor see other classes?
No. A tutor account sees only students in their classes and sites. It isn’t hidden on screen — the server refuses.
Do results reach parents as soon as we enter them?
No. Nothing is visible until the academy publishes. Review first, then open them all at once.
Can we take fees by card?
Yes — on the EFTPOS terminal you already use. Online card payments in the app carry a fee that grows with the amount, so on a term’s fees they cost the academy more than your terminal does. That’s why the invoice on the parent page points parents to a fee-free bank transfer (your account and reference are on it). Record a terminal payment on the invoice with the method set to Card and it drops off the overdue list.
Can you send text messages?
Not yet. Notices go by web push and email. When a caregiver turns on [Get notified of news] on the parent page, new notices pop up on their phone straight away (on iPhone, add the page to the home screen first).
What if we have more than one site?
Each plan includes a set number of sites, and each extra site is $20/month. The roll, attendance and reports filter by site, and tutors see only theirs. The fees accounting summary covers the whole academy.
Do you handle after-school and holiday care (OSCAR)?
Yes. Bookable classes take daily bookings with full-time, part-time and casual rates and rate tiers, and parents book on the parent-page calendar. Sign-in/out stamps with caregiver signatures come with care mode, which we switch on when you ask. An attendance ledger CSV for MSD checks is included.
Are notices translated for parents?
No. Buttons and headings on the parent page follow the caregiver’s choice of English, Korean or Chinese, but notice text goes out exactly as you wrote it. Nothing is machine-translated.
Does it connect to Xero?
It exports an invoice CSV for Xero’s import screen. There’s no live sync, and payments aren’t exported yet.
